Organized telework, a new tool for well-being and productivity

Company : My Company
Number of employees : 85


My company is a fictitious company with 85 employees. It wishes to review the work organization of its teams. Before the first confinements, all of its employees went to the site from Monday to Friday. The daily commute is a source of fatigue and stress for My company employees, some of whom live nearly 2 hours from their workplace. With the containment, they have switched to 100% telecommuting.

With the end of the health restrictions, the question arose of how to manage teleworking and to set up a new hybrid work organization, which allows employees to work at home, in a third place or at the company's headquarters.
Employees' expectations:
They want to find a relevant compromise between face-to-face and remote work. Indeed, they have become aware of the benefits and limitations of telecommuting during confined time:
- 👍 Flexibility of schedules, time suppression, travel costs, etc.
- 👎 Isolation, sedentary*, etc.

*less than 30 minutes of physical effort per day
Company expectations:
The gains associated with teleworking at the company are significant. However containment has shown a number of limitations to this approach:
- 👍 Decreased carbon impact, land costs, expanded recruitment pool...
- 👎 Loss of creativity, increased anxiety, decreased sense of belonging to the company...

It is therefore essential to find a good balance through a hybrid work organization.
My Company would like to offer its employees:
- 2 days of telecommuting + 3 days at the headquarters
- 2 days of telecommuting + 3 days in a co-working space (for those who live too far from the headquarters)

To meet its expectations, My Company decided to call on Maplab for advice and support in its project.


My Company's objective is to measure the impact of this new work organization on the quality of life and the carbon footprint of its employees. 


1- Collection of an HR file

Maplab first collects HR data from My Company. This data includes for each employee:
- A login / name & surname
- Home address
- Workplace address(es)
- Means of transport used during the week
- Working hours (or teleworking days if applicable)

2- State of the art

In compliance with the RGPD rules, Maplab processes HR data. The platform allows you to measure the impact of each employee's commute on:
- Travel time
- Travel costs
- Carbon footprint
- Health
These results show that the majority of employees spend more than 2 hours per day commuting to work. On a company-wide scale, this is the equivalent of more than 4,300 working days spent commuting. We also note that 2/3 of employees have a commute time considered difficult or painful (more than 1h20 per day).

In addition to the travel time, the impacts are also major, either on:
- the purchasing power: nearly 15€/day/employee or
- the carbon footprint: the equivalent of 95 years of heating a studio for all the employees, on a single year!

A reorganization of the work involving telecommuting and co-working spaces that can reduce the distances traveled appears to be a very relevant option, both for the quality of life and the carbon footprint of employees.

3- Simulation of a new work organization

The homes of the employees are widely distributed in the Paris region.
Taking into account the business constraints of each employee and the distance from the sites, several coworking spaces have been identified. These are located in :
- Fontainebleau
- Cergy
- Sarcelles
- Issy-les-Moulineaux
- Méré
33 employees have been identified to work in these spaces. The other employees will continue to work at their current location. But all of them will have to telework at home 3 days a week.
In some cases, when the coworking space is close enough to the home, it is assumed that the employee will leave his or her car and use the bicycle.

The Maplab Pro platform allows to simulate the impacts of the new (de)mobility implied by this new organization.

Major benefits

The results show major benefits for employees.
Indeed, we observe on average for each employee:
- that 1h08 of commuting time are saved each day ⏱️
- a gain of 9,46€ per day 💰
- a reduction of 2/3 of CO2 emissions associated with home-work commuting.

However, the generalized implementation of telecommuting implies a decrease in physical efforts associated with daily travel. This can have a strong impact on the health of employees in some cases. The company must therefore be able to anticipate this by encouraging physical activities on a daily basis or the use of active modes for the remaining journeys (when possible).

Focus on Julien, big winner of the operation

Its initial situation
Julien's mobility is among the most constraining in the company. Indeed, he has to drive from Bois-Le-Roi, a town near Fontainebleau, to Paris-Opéra every day.
This means a daily travel time of more than 4 hours to get to work (there and back). This is an extremely long time, due to the distance between home and work, but especially due to the traffic in and around the capital. The consequences are obviously reflected in the cost of travel, the carbon footprint and health, with no physical activity on these journeys.

His post change situation
The new organization offers him the possibility to work 2 days at home and 3 days / week in a third place in Fontainebleau. Given the proximity of his coworking space, Julien can get there by bike.

This new organization allows him to :
- Save 3h30 of travel time / day (80% reduction of his transportation time)
- Reduce his carbon footprint by 100% (nearly 6T/year)
- Increase his purchasing power by 14 700 euros /year*
- Avoid the risk of sedentary lifestyle** and reduce the associated health risks.

* Estimated cost based on the mileage allowance scale:
Measured differently, this coefficient integrates all costs including the acquisition of the vehicle.

** less than 30 minutes of physical effort per day. The end of the risk of a sedentary lifestyle goes hand in hand with a reduction in the risk of cardiovascular disease, cancer, psycho-social disorders and musculoskeletal problems.


For the company:
Reduction of real estate costs: Potential reduction of the real estate surface of the headquarters by -25% (estimated savings: 300 000€ / year)
- Productivity (less sick leave, less tired and stressed employees, etc...)
- Reduction of work-related accidents (commuting accidents)
- Boost of the employer brand
- Increase of the recruitment pool: The company can now recruit in new territories (Fontainebleau, Cergy, Sarcelles, Issy-les-Moulineaux & Méré)
For employees:
Better work/life balance: less commuting time
- Well-being at work: less stress related to daily commuting, more time to take care of oneself, etc.)
- Increased purchasing power: lower commuting costs, expenses avoided thanks to the time saved (e.g. childcare, cleaning, etc.)
For the environment:
- Reduction of the annual carbon footprint (equivalent to 62 years of heating a studio apartment)

- Contribution to better air quality: reduction of fine particle emissions by thermal vehicles.
